Reduce No-Shows: Reminders, Deposits and Cancellation Policies That Work
The chair is free, the foil is out, and the client who booked the 11am balayage is not here. A reformer is still empty after class started, with someone on the waitlist. A parent booked a trial lesson and never walked in. The slot was never empty on the calendar. It was empty in the room.
A reminder will not drag anyone through the door. It can give them an easy moment to say they can't come, early enough for you to offer the slot to someone else. This is the order for a Singapore salon, tuition centre or wellness studio: write the rule, tell people before they book, send a free WhatsApp reminder yourself, and let confirmations run without you once you can't remember them all.
- Write the cancellation rule first: how much notice you need, how to cancel, and what happens to a deposit if they cancel in time, cancel late, or don't show.
- Say it before they book, on your website, in the booking confirmation, and in your WhatsApp greeting. A policy nobody saw is an argument.
- Free, this week: a quick reply you send the evening before to tomorrow's bookings, asking them to confirm or reschedule. Away and greeting messages do not do this for you.
- A list-wide blast is a different product. WhatsApp reviews business broadcasts and charges for them after any free messages.
- When you can't send those messages by hand, a front desk can send the confirmation and the day-before reminder from the booking itself.
A no-show is a slot you can't easily resell
An hour with no booking is annoying. An hour that was booked, then abandoned, is worse, because you turned other people away. A colour service blocks a stylist for a long stretch. A trial class holds a seat another parent might have wanted. A capped pilates or yoga class holds a mat a waitlist name would have used. These are illustrations, not a claim about how often it happens.
The useful question is how you hear about a cancellation while the slot can still be filled. That takes a rule, a reminder that asks for a reply, and someone or something that sends it.
Write the policy in plain language
Keep it short enough to paste into a chat. Four lines cover most studios:
- Notice. You choose the window. Some businesses use the evening before. Some use a set number of hours. There is no single Singapore rule this post can hand you, so pick a window you can actually run, and use it every time.
- How to cancel. Reply on WhatsApp, or use the link in the confirmation.
- In time. Say what they get back: a refund, a credit, or a move to another day. Say which one you mean.
- Late or no show. Say what you keep or charge. If you shorten a service when someone arrives late, so the next client isn't pushed back, say that too.
Different bookings can have different rules, as long as each one is written down. A drop-in class and a term of tuition are not the same commitment. A fringe trim and a long colour are not the same lost hour. The customer should see the rule for their booking before they agree.
Deposits: decide the amount, the moment, and the refund
A deposit is a decision, not a decoration. Before you take one, write three things:
- How much, in dollars, for that service. Don't leave it as "a small deposit".
- When you take it: to hold the slot, or on the day.
- When it comes back, and when it doesn't. Cancel inside your window, and say whether you refund it or hold it for the next visit. Cancel late, or don't come, and say whether you keep it.
Tell them before they pay, in the same place they book, and apply it the same way every time. If you are unsure a term is fair to rely on, check it before you enforce it. This is an operations guide, not legal advice. A deposit does not replace a reminder. The reminder is what turns a forgotten booking into a cancellation you can act on.
Put the rule where they see it before they book
The cheapest argument to avoid is "nobody told me". Put the same short policy:
- On your website, as text, next to how to book.
- In the message that confirms the booking.
- In your WhatsApp greeting message, so a new customer sees it. WhatsApp sends a greeting when someone messages you for the first time, or after 14 days without a chat. Your phone needs an internet connection for it to send. Greeting messages are switched off if Meta Business Agent, WhatsApp's built-in Business AI, is connected.
- In your away message for outside business hours, once your hours are set in the business profile, so a late-night booking request still sees the rule. Our guide to missed WhatsApp enquiries after hours covers the rest of that setup.
Away and greeting messages answer people who message you. They do not look at tomorrow's book and nudge the people who have gone quiet. That job is the reminder.
Free reminder: a quick reply, the evening before
In the WhatsApp Business app, a quick reply is a saved message you insert by typing "/" in a chat. You can store up to 50. They do not send themselves. That is the point of the free version: you choose who gets it.
Each evening, open tomorrow's bookings and send one message per person. Include the time, what they booked, and a clear ask:
Hi! Reminder of your booking tomorrow, Tue 3 Nov, 11.00am, balayage with Aisha. Reply 1 to confirm, or 2 if you need to move it. We can refill the slot if we know by 8pm tonight. See you then.
Swap in your own time, service and deadline. If many customers write in Chinese, keep a second quick reply in 中文. Save them as /confirm and /confirmzh. Edit the name and time before you hit send. A reminder with yesterday's name on it is worse than no reminder.
Then mark the chat. WhatsApp is renaming labels to lists, gradually, so you may still see labels. You can create up to 20. Two is enough: "Tomorrow" and "Confirmed". When they reply, move them. Anyone still on "Tomorrow" is a slot you can try to refill. It is the same habit as the reminder step in five admin jobs you can automate: it works, and someone has to remember to do it.
Don't use a broadcast as your reminder system
WhatsApp's labels article says marketing messages can go to everyone in a list at once, including reminders. That is not the same as a quick reply in one chat. For business broadcasts, WhatsApp says you review the pricing first, and you are charged when you send or schedule. After any free messages, you need a payment method. You pay for broadcasts that are delivered. Meta reviews the message before it goes out. The feature is only in some countries, so it may not be on your app. That help page does not state a free-message allowance, so this post will not invent one. For tomorrow's bookings, the quick reply is the free path.
Which approach fits
| Approach | Cost | What it does | What it doesn't |
|---|---|---|---|
| Quick reply, evening before | Free | Reminds each booking in its own chat | Someone still has to send it |
| Greeting and away message | Free | Shows the policy when a customer messages you | Doesn't remind people who don't message you |
| Lists (labels) | Free | Shows who has confirmed | Doesn't send the reminder |
| Business broadcast to a list | Charged after free messages | Reaches a whole list; Meta reviews it | Not a booking-by-booking confirmation |
| Front desk confirmations | Monthly plan | Confirmation and day-before reminder from the booking | Complaints and exceptions still need a person |
When the evening reminder stops happening
The free method fails on busy weeks. You're in the middle of a colour, or teaching, and the 8pm reminder round doesn't happen. The next sign is a list called "Tomorrow" that nobody updated.
That is the job of a front desk tied to the calendar. Furoki Concierge answers from your approved prices and policies in English and 中文, books and reschedules, and sends the confirmation and the day-before reminder from the booking. Complaints and exceptions go to a person with the conversation attached. Website chat is live today. WhatsApp on your own number is rolling out with our first pilot businesses.
You can chat with a demo salon and ask what happens if you need to move tomorrow's appointment. The policy and the reminder should feel like the same conversation, not a surprise on the day.
Frequently asked questions
Does the WhatsApp Business app send appointment reminders by itself?
No. Away messages and greeting messages are sent only when someone messages you. A reminder for tomorrow's booking is a message you send, for example with a quick reply. A front desk such as Furoki Concierge can send the confirmation and the day-before reminder from the booking.
Should every appointment take a deposit?
That is your decision. A long colour appointment and a trial lesson do not have to use the same rule. Write the amount, when you take it, and when it is refunded or kept, and show that rule before the customer books.
Can I remind everyone in a WhatsApp list at once?
WhatsApp's labels article says marketing messages can go to everyone in a list, including reminders. Business broadcasts are reviewed by Meta, and WhatsApp says you are charged when you send or schedule one after any free messages. For tomorrow's bookings, a one-to-one quick reply is the simpler free habit.
What should a cancellation reminder ask the customer to do?
Name the time and what they booked, say how to reply if they need to move it, and repeat the deadline you set. A reply the evening before gives you a chance to offer the slot to someone else.
Send the confirmation without staying late
Furoki Concierge confirms the booking and sends the day-before reminder from your own calendar, in English and 中文.
