Turning Instagram and Facebook Messages into Bookings
"Hi, how much for balayage? Got Saturday?" lands in Instagram while your hands are in someone's hair. The same question shows up on Facebook during a pilates class, or while you're teaching. By the time you open the apps that night, they have booked somewhere that answered.
This is a triage for Singapore salons, tuition centres and wellness studios: answer the short questions where they arrived, and move a real booking to WhatsApp, where a confirmation can happen. The steps are from Instagram's and WhatsApp's help pages, checked on 2 November 2026. Where a page doesn't state a limit, this post doesn't invent one.
- Use a professional Instagram account. The inbox has Primary, General and Requests. Flag what you must come back to.
- Save replies for price, location and how to book. Label chats Lead or Booked as they move.
- Stay in the DM for a one-line answer. Move to WhatsApp when they want a slot, a deposit or a thread you'll need tomorrow.
- Link WhatsApp Business so your Instagram profile and Facebook Page can show a button that opens WhatsApp.
- Furoki Concierge does not read your Instagram inbox. It confirms the booking once the chat is on your website or, for pilot businesses, on WhatsApp.
Why the DM pile is a booking problem
People message the app they already have open, often asking two or three businesses at once. The one that answers with a time gets the visit. Treat the inbox as a sorting tray, not as your booking book. Three kinds of message should not wait in the same queue:
- A fact you can answer once: price, address, nearest MRT, what to bring to a trial.
- A booking: a day, a class, a service, sometimes a deposit.
- Not a customer: suppliers, collaborations, and requests you haven't accepted.
Sort the Instagram inbox before you reply
Instagram's help centre says these inbox tools are for business and creator accounts, in the Instagram mobile app. A professional inbox has three folders:
- Primary, for messages you want to see first. New messages land here. You can swipe a chat into General. Unread notifications are on, and you can turn them off.
- General, for messages you'll get back to. Unread notifications are off unless you turn them on.
- Requests, for messages you haven't accepted, including hidden requests. Requests are from accounts you don't follow. They are not marked seen until you accept them. You can look at Top requests for accounts Instagram surfaces as more relevant.
Reply to a request, or accept it, and later messages from that account go to Primary. You can filter to unread or flagged chats, flag a thread, or mark it unread so you come back to it. There is also a list view for bulk actions. Flag "this one wants a slot". Leave Requests alone until you know it's a person, not a pitch.
Saved replies for the questions you answer every day
Instagram lets a professional account save a reply. Hold a message you've sent, tap More, then Save, and give it a shortcut. Later, type the shortcut and tap the suggestion to fill the message. As you type, Instagram may also suggest one of your saved replies. Nothing is sent until you tap it.
The help page does not state a maximum number of saved replies, so don't plan around a number you haven't seen in the app. Four covers most studios:
- Prices, or "from" prices, and what changes the price.
- Where you are, and how to get there.
- How to book, including your booking link.
- Your cancellation line, in one or two sentences. The longer version belongs in your no-show and cancellation guide.
Write them in English and, if your customers ask in Chinese, keep a 中文 version. A saved reply is still you sending it. It does not watch the inbox while you teach.
Labels: Lead, then Booked
If you are a seller or creator on Instagram, you can label a chat. Instagram's help lists these labels: Lead, Booked, Ordered, Paid and Shipped. You need a business account, or a creator account in the categories Instagram supports. You add the label from the chat, or by swiping the chat, choosing More, then Add label. You can change it later the same way.
For a salon, a tuition centre or a studio, two of those labels do the work. Lead means they asked and have not got a time yet. Booked means a slot is held. Ordered, Paid and Shipped are retail words. Use them only if you actually sell that way. Don't invent extra label names and assume the app has them. The help page shows that fixed list.
Booked should mean a time is agreed, not that you hope to agree one.
A triage you can run between clients
Twice a day is enough for many studios: once before you open, once after the last client. In each pass:
- Open Primary, unread and flagged first.
- Answer facts with a saved reply, in the same app.
- If they want a time, a class or a deposit, label them Lead and move that conversation to WhatsApp. Don't start a five-message scheduling thread you will lose in the scroll.
- When the slot is agreed, change the label to Booked.
- Sweep Requests only for real people. Decline or ignore the rest.
Someone who named a day comes before a general hello. That is the same order as a simple lead follow-up list: one place, a status, and a next step.
When to move the chat to WhatsApp
Stay in Instagram when the answer fits in a saved reply and they don't need anything held for them.
Move to WhatsApp when any of these is true:
- They want a specific day or class.
- You take a deposit to hold the slot, and you need a clear yes.
- You'll need the thread tomorrow, for a reminder or a reschedule. Many Singapore customers already keep appointments on WhatsApp.
Send one line, not a lecture:
Saturday 2pm is open for balayage. I'll hold it on WhatsApp so we can confirm and send you the details: [your WhatsApp link]. If that time doesn't work, tell me what does.
You can also put WhatsApp on the profile. In the WhatsApp Business app, go to Tools → Facebook & Instagram, then Instagram. You need an Instagram professional account and current versions of the apps. Once linked, WhatsApp says you can show a Click to WhatsApp button on the profile. Not every business category can link. If you see that your category isn't supported, the help page says it has to meet WhatsApp's commerce policy first. Linking uses your WhatsApp business number so people can message you from the profile. You can hide the button, or remove the link, from that same screen.
The same Tools screen links a Facebook Page. After you connect, WhatsApp says a WhatsApp button appears on the Page, and customers can message you on WhatsApp in one tap. You need a business Page (not a personal profile), and you need to be an admin. Each Page links to one WhatsApp Business account at a time, and that account links to one Page. A message that starts on Facebook follows the same rule as a DM: answer the short question there, and move the booking.
Where an AI front desk fits, and where it doesn't
Sorting DMs is still a human pass. The repetitive part starts once someone is ready to book: the price, the free slots, the confirmation, the reminder.
Furoki Concierge does that on channels it actually runs. It answers from prices and policies you have approved, in English and 中文, books and reschedules, and sends confirmations. It does not sit inside your Instagram inbox, and this post will not pretend that it does. Website chat is live today. WhatsApp on your own number is rolling out with our first pilot businesses. The handoff is: Instagram or Facebook for the first hello, WhatsApp or your website for the booking Concierge can finish.
Meta publishes Instagram Messaging documentation for businesses that connect their own tools. That page is not a list of limits for the Instagram app's inbox, so none are repeated here. If a number isn't on the help page you're looking at, don't plan the studio around it. You can chat with a demo salon to see the booking half: the part that should not still be in a DM at 11pm. For messages after you close, see missed WhatsApp enquiries after hours.

Frequently asked questions
How do I organise Instagram messages?
On a professional account in the Instagram app, the inbox has Primary, General and Requests folders. You can flag a chat or mark it unread, save replies with a shortcut, and add labels such as Lead or Booked.
When should I move an Instagram chat to WhatsApp?
Stay in Instagram for a short answer, such as price or location. Move to WhatsApp when they want a specific slot, a deposit, or a thread you will need again tomorrow. Linking WhatsApp Business can add a Click to WhatsApp button on an Instagram professional profile.
Can Facebook Page messages follow the same path?
Yes. Linking your WhatsApp Business account to your Facebook Page adds a WhatsApp button on the Page, so a booking can continue on WhatsApp. You need a business Page, the WhatsApp Business app, and admin access. Each Page links to one WhatsApp Business account at a time.
Does Furoki Concierge read an Instagram inbox?
No. Furoki Concierge answers on website chat, which is live today, and on WhatsApp for pilot businesses. Sort the message in Instagram or Facebook, then continue the booking where Concierge can confirm it.
Turn the reply into a booking
Furoki Concierge answers from your own prices in English and 中文, books the slot and sends the confirmation once the chat is on your website or WhatsApp.
